At RoleOrbit, we are committed to protecting your personal data and respecting your privacy. This page summarizes key data protection measures and practices. It supplements our Privacy Policy and Terms and Conditions.

2. Data collection and processing

2.1 Types of data we collect

  • Personal information: Name and email address
  • Career data: Current role, target role, professional experience, preferences you share on forms or in early access onboarding
  • Resume information: Skills, education, work history when you upload a resume or similar file
  • Learning preferences: Goals, time commitment, or other preferences you choose to share for recommendations

2.2 How we process your data

  • Skills and career analysis: We may use AI to analyze career-related information you submit
  • Recommendations: Personalized suggestions for learning paths, content, or next steps
  • Mentor matching: Where offered, suggestions based on your stated goals and background
  • Career mapping: Mapping skills and experience to role paths and opportunities you opt into

3. Data security measures

3.1 Technical safeguards

  • Encryption: Data is encrypted in transit (HTTPS). Our infrastructure providers apply encryption and access controls for data at rest as part of their service.
  • Hosting: Data is stored with reputable cloud providers using monitored, access-controlled environments
  • Access controls: Role-based access and authentication for systems that process personal data
  • Security reviews: We assess vendors and periodically review configuration and risk for the services we operate

3.2 Administrative safeguards

  • Training: Team members who handle personal data receive appropriate confidentiality and security guidance
  • Data minimization: We collect data that is reasonably necessary to provide the Platform
  • Retention: We retain data according to operational needs and legal obligations, as described in our Privacy Policy
  • Incident response: Procedures to detect, respond to, and notify where required in the event of a security incident

4. AI and personal data separation

Important privacy protection

We do not use your personal information (name, email, contact details) for AI training purposes.

  • Your personal data remains private and is handled separately from unauthorized use for model training, as described in our policies
  • AI-assisted analysis focuses on skills and career-related information you provide for that purpose
  • Personal identifiers are not used in AI model training
  • We design processes to protect your privacy throughout AI-assisted analysis

5. Mentor guidance and your information

If you engage with mentors, you may share career details in those interactions. Mentor opinions are personal to them and are processed in line with our Privacy Policy; they are not RoleOrbit's official position. Expectations around use and liability are summarized below and in our Terms and Conditions.

Contact details you share with a mentor

Conversations may lead someone to ask for—or offer—email, phone numbers, social handles, or other direct contact information, or you may share such details without being asked. That can flow from mentee to mentor or the other way around, including indirectly (for example through a calendar link, signature, or follow-up message). Whether and what you disclose is entirely up to you. RoleOrbit does not require you to give mentors your personal contact details to use core matching or Platform features, and we are not responsible for personal data you or a mentor choose to exchange directly. How that information is then used, stored, or forwarded is between you and the other party; it falls outside the personal data processing we describe for information you submit only through RoleOrbit's own forms and systems, except where we technically carry a message you send inside the Platform.

Mentor guidance

Anything a mentor or expert shares through the Platform reflects their own views—not RoleOrbit's—and is general guidance only. It is not a promise or guarantee about hiring, compensation, promotions, or any other specific outcome.

  • Mentor input is not legal, financial, tax, medical, or other regulated professional advice; consult a qualified professional when you need one
  • You choose how to use their suggestions and remain responsible for your career and business decisions
  • Verify facts, opportunities, and credentials independently; we do not warrant mentor statements or backgrounds
  • Sharing direct contact details (for example email or phone)—whether you offer them, a mentor asks for them, or information is exchanged the other way around—is solely your choice. RoleOrbit is not responsible for personal data you or a mentor choose to share with each other outside the data we collect and process as described in our Privacy Policy.
  • Facilitation or matching on the Platform does not mean RoleOrbit endorses, employs, or supervises mentors
  • RoleOrbit is not liable for disputes or results arising between you and a mentor or from acting on mentor guidance

6. Your data rights

6.1 Access and control

  • Right to access: Request a copy of your personal data
  • Right to rectification: Correct inaccurate information
  • Right to erasure: Request deletion of your account and certain data, subject to legal retention needs
  • Right to portability: Export your data in a portable format where applicable
  • Right to object: Object to certain processing where applicable law allows

6.2 How to exercise your rights

To exercise any of these rights, email support@roleorbit.com with your request and enough detail for us to verify and fulfill it.

7. Data retention

  • Account and signup data: Retained while your relationship with us is active or as needed to provide the service
  • Resume and career content: Retained for the purposes you submitted it for, and deleted or anonymized when no longer needed unless we must retain it by law
  • Communications: Retained as needed for support, legal, and operational purposes
  • Deletion: When you request deletion or close your relationship with us, we delete or anonymize personal data where required and permitted

8. Third-party services

We may use trusted third-party services for example:

  • Email delivery (e.g. Resend)
  • Database and authentication hosting (e.g. Supabase)
  • AI processing through vetted providers, under agreements and configurations aligned with this policy

We select processors with appropriate safeguards and contractual commitments where required by law.

9. International data transfers

If we transfer personal data across borders, we use safeguards appropriate under applicable data protection laws (such as standard contractual clauses or equivalent mechanisms where required).
